Nexus Property Management Software Solutions prepared this on 24 September 2026 for The Landings Association to review. The Association has not adopted it, so it is not an agreement with anyone yet. It shows what residents would be asked to accept.
The Landings service requests
For The Landings Association, Skidaway Island, Georgia
These terms cover the service-request app residents use to report problems on The Landings' common property, and that Association staff use to route and fix them. They are written in plain language on purpose. Where they say "you", they mean anyone with an account. Where they say "the Association", they mean The Landings Association. Where they say "Nexus", they mean the company that builds and runs the software for the Association.
The short version
- Use the app to tell the Association about a problem on common property: a mailbox, a road, a lagoon, a street light, a gate.
- It is not an emergency line. If someone is hurt or in danger, call 911.
- The Association decides what gets fixed and when. A report is a request, not a work order with a guaranteed date.
- Your report, its photo and its location are seen by Association staff, not by other residents.
- Be accurate, be civil, and do not photograph people.
Who does what
The Association offers this service to its members and decides how it is used: who can have an account, which departments handle which requests, how requests are prioritised, and how long records are kept.
Nexus Property Management Software Solutions builds, hosts and maintains the software for the Association under a written agreement. Nexus is the business name of James Perkins, a sole proprietor in Savannah, Georgia. Nexus works on the Association's instructions and does not decide what happens to your report.
What this service is for
Reporting problems on the common property the Association maintains, including mailboxes and yard plaques, roads and paths, lagoons and drainage, trees and landscaping, signs, street lights, gates, parks, marinas and Association facilities, and following those reports until they are closed.
What it is not
- Not for emergencies. Fire, medical emergencies, crimes in progress and anything dangerous go to 911. For urgent security concerns, use the Community Safety number the Association publishes. The app shows that number when you report a security or gate problem, once the Association has confirmed it.
- Not a way to report a neighbour. Covenant, architectural and neighbour disputes go through the Association's existing process, not this app.
- Not a promise of repair. Staff review every report, but they may decline, merge, re-route or schedule it according to the Association's priorities, budget and responsibilities. Some things reported will turn out to be the responsibility of a utility, the county, or a homeowner.
- Not the place for dues, billing, club matters or general correspondence with the Association.
Your account
You need an account to report. You join with the community code the Association gives its members. The code makes you a Member. Staff roles (Crew, Coordinator and Administrator) are assigned by an Association Administrator, never chosen at sign-up.
- Use your real name and an email address you control.
- Keep your password to yourself. You are responsible for what is done with your account.
- Do not share the community code outside The Landings.
- One person, one account. Households can each have their own.
- The service is meant for adults. Do not create an account for a child.
If you move away or no longer want an account, ask the Association to close it, or use the contact details below.
What you report
When you file a report you are asking Association staff to look at something. Please:
- Describe what you actually saw, where you saw it, and when.
- Photograph the problem, not people. Avoid faces, children, licence plates and the inside of anyone's home, including your own, where you can.
- Keep other people's personal details out of the description.
- File one report per problem, and check whether you have already reported it.
Staff may change a report's type, department or priority, add notes, or close it. You can follow its status in the app. When the crew mark it fixed, you will see what they say they did, and you can tell the Association whether the problem is really fixed. If it is not, saying so reopens the report. You can answer once for each fix, within 30 days.
Who can see your report
- You can see every report you filed and its progress.
- Association staff can see reports according to their role. Coordinators and Administrators see all reports; Crew see the jobs assigned to them.
- Other residents cannot see your reports.
- Nexus can access reports only to run, support and secure the service, as the Privacy Policy explains.
You will see the name of the staff member assigned to your report.
Using the app fairly
Do not:
- File false, abusive or deliberately misleading reports.
- Harass, threaten or abuse Association staff or anyone else, in a report or anywhere in the app.
- Try to see reports or accounts that are not yours, or test the app's security without written permission.
- Upload anything unlawful, anything you do not have the right to share, or anything harmful to devices, such as malware.
- Use automated tools to scrape, flood or overload the service.
- Pretend to be someone else, or suggest that you speak for the Association when you do not.
- Use the app to advertise or sell anything.
The Association may suspend or close an account that breaks these terms. It will usually tell you why, unless doing so would be unsafe or unlawful.
Your photos and words
You keep ownership of the photos and text you submit. By submitting them you give the Association, and Nexus acting for the Association, permission to store, copy, display and use them to handle your report, keep the Association's maintenance records, and plan work on common property. That permission lasts as long as the Association keeps the record under its retention schedule.
Only submit photos you took or have the right to share.
Offline use and your device
The app works with a weak signal. A report made with no connection is kept on your device and sent when a connection returns. That is a best effort, not a guarantee: a report is not received until the app shows it as sent. If something is urgent, call.
Signing out removes the app's saved data from the device. Sign out before handing a phone to someone else.
Staff accounts
If you work for the Association, your account also lets you view, update and close reports as your role allows. Use it only for Association work, only to see what your job requires, and handle residents' details as the Association's policies require. Your status updates and notes are part of the work record and are visible to other staff.
Availability and changes to the service
The service is provided as it is and as it is available. It may be interrupted for maintenance, updates, or problems with the companies that host it. Features may change or be withdrawn as the service develops.
To the extent the law allows, neither the Association nor Nexus gives any warranty about the service, including that it will be uninterrupted, error-free, or fit for any particular purpose.
Responsibility
The service is free to residents. To the extent the law allows, neither the Association nor Nexus is liable to you for any indirect or consequential loss arising from your use of the app, or for any delay in, or decision about, a repair. Nothing in these terms limits liability that cannot be limited by law, including for fraud or for death or personal injury caused by negligence.
Governing law
These terms are governed by the laws of the State of Georgia. Disputes that cannot be resolved informally belong in the state or federal courts serving Chatham County, Georgia, unless the law gives you the right to bring them elsewhere.
Please raise any complaint with the Association first, so it can try to put things right.
Changes to these terms
The Association may update these terms. It will post the new version here with its new effective date and, for any change that matters to you, tell members in the app or by email before it takes effect. If you keep using the app after that, the new terms apply. If you do not accept them, you can close your account.
